# Repeat customers, time and calendar — local guide

Use invented names and details. These records stay on this Mac. Both demonstration businesses start empty.

## Add another job for the same customer

Open **Customers**. Find the person, check the contact details, then choose **New job** beside their name. Save what needs doing. **History** shows that customer's jobs, saved quotes/invoices and recorded payments. You can also choose **Existing customer** when adding a staff enquiry.

Public website enquiries remain separate until reviewed. For a new enquiry linked to the wrong customer, open the job and use **Review link to an existing customer**. Review the names and contact details before confirming. This only works for untouched new enquiries without documents, costs, bookings or portal access. Wider duplicate cleanup is still to build.

Editing contact details preserves the original details on saved documents and disables their current portal access. Verify the corrected contact details before issuing a replacement code.

## Record labour and inspect job costs

1. In **Team**, add a fictional person, role and default internal hourly cost. This does not create a staff login.
2. Open a job and choose **Add time**. Select the person, the date worked, hours and minutes. Leave the rate override empty to use their current default; enter an override only when intended.
3. Save. A 90-minute entry at £20/hour gives a £30 labour estimate. Each saved entry retains its rate even if the person's default later changes.
4. Use **Correct** to amend an entry, **History** to inspect changes or **Archive** to exclude it from costs while retaining it. Show archived entries to restore them.

Recorded work cost combines active labour estimates and received materials. Including planned materials adds ordered/to-order rows too. Received is a purchasing stage, not proof of payment. Invoice values and recorded payments are displayed separately. These figures do not calculate payroll, overheads, VAT recovery, tax or accounting profit. Time never creates or edits an invoice.

Use work dates from 2020 through today in UK time. One person's total cannot exceed 24 hours on one date across all jobs. Enter 0 explicitly for an uncosted person; zero is not a calculated estimate.

## Book the team

1. Add the people in **Team**, then open **Calendar**. Choose a date and **Day** or **Week**.
2. Choose **New booking**, select a job and the people needed, then set start/end dates and times. A title is optional for a job visit.
3. For holiday, closure or other unavailable time, change the booking type and choose individual people or **Whole team**.
4. For all-day work, tick **All day**. The end date is included. A booking from 29 to 30 October reserves both full days.
5. Save, then open its card to edit, archive or see history. To restore a booking, show **Archived bookings**. Restoration checks availability again.

Overlapping periods for the same people are blocked. Different people may work at the same time; adjacent visits may meet at the same time without overlapping. A whole-team closure applies to everyone, including people added later. A multi-day booking reserves one continuous period, including overnight; create separate bookings for separate daily visits. Up to 31 calendar dates may be reserved per booking.

Times use **Europe/London**, regardless of your computer's timezone. A missing spring clock-change time is rejected. If booking the repeated autumn hour, expand **Clock-change choices** and select its first (BST) or second (GMT) occurrence. Saved cards show the timezone.

A job's **Target date** is a planning note. Actual team reservations live in Calendar. Saving a booking does not automatically change job stages, billing or payments. Archive or reassign a person's future bookings before archiving them in Team.

## Still to come

Recurring work, drag/drop, calendar sharing/printing and Google sync; staff invitations and permissions; wider customer merges; fuller quote/invoice corrections and payment schedules; accounting profit; and the remaining features in FEATURE-COMPARISON.md. Live integrations are disabled. No production or tax approval is implied.
